How we collect, use and protect your personal information.

Centurion Fire and Security Ltd (“Centurion”, “we”, “us”) designs, installs and maintains fire and security systems for businesses across the UK. This policy explains what personal information we collect when you use this website or deal with us, why we collect it, how long we keep it and the rights you have over it.

We are the data controller for the information described here. If anything in this policy is unclear, contact us using the details in the How to contact us section.

Information we collect

We collect information in three ways: information you give us, information collected automatically when you use the website, and information we receive from other sources.

Information you give us

  • Enquiries and quotations. When you complete a contact, site survey, quotation or support form, or email or call us, we collect your name, company, job title, email address, telephone number, the address of the premises concerned and anything you tell us about your requirements.
  • Customers and contracts. If you become a customer we hold the contact details of the people we deal with, site details, system specifications, service and maintenance records, correspondence and billing information.
  • Job applications. If you apply for a role we collect your CV, covering letter, contact details, employment history, qualifications and, where the role requires it, information needed for security screening.
  • Suppliers and partners. We hold the business contact details of the people we work with at suppliers, manufacturers, consultants and partner organisations.

Information collected automatically

When you visit the website our systems record technical information such as your IP address, browser type, device, the pages you visit, how you arrived at the site and how you move through it. Some of this is collected using cookies and similar technologies, which are explained in our cookie policy. The cookie policy includes the Cookiebot declaration and explains how to access consent controls, including what to do if they are unavailable.

Information from other sources

We may receive your details from a colleague who asks us to contact you, from a consultant, insurer, landlord or managing agent acting for your organisation, from a manufacturer or partner who refers work to us, or from publicly available sources such as Companies House and your organisation’s website.

How we use your information

Where we rely on legitimate interests we have considered the effect on you and concluded that our use of the information is proportionate and what you would reasonably expect. You can ask us for details of that assessment.

Marketing

We use the personal details you provide in an enquiry only to respond to and follow up that enquiry. We do not use those enquiry details for marketing.

Website forms and protection against spam

Forms on this website are protected by Google reCAPTCHA and an anti-spam service, which analyse form submissions and technical data such as your IP address to distinguish genuine enquiries from automated abuse. Use of reCAPTCHA is subject to Google’s privacy policy and terms. A copy of each submission is stored on our website system. Our staff receive submissions by email and use installed Touch CRM software to manage and follow up enquiries.

CCTV, access control and monitored systems

Our customers own and operate the CCTV, access control, intruder and fire systems we install. The customer is the data controller for the images, access records and events those systems generate. Our engineers may see or handle that data while installing, commissioning, servicing or supporting a system, and we do so only on the customer’s instructions and for as long as the work requires. Where we provide remote monitoring or support, the terms of the service agreement govern what we access and why.

Who we share information with

We share personal information only where necessary, and only with organisations that are bound to protect it. These include:

  • Service providers who host our website, deliver email, provide analytics, protect our forms from spam and support our business systems.
  • Alarm receiving centres and monitoring partners where a monitored service forms part of your contract.
  • Manufacturers and specialist subcontractors where they need to support, warrant or work on equipment at your site.
  • Professional advisers such as accountants, insurers and solicitors.
  • Accreditation and regulatory bodies where required for inspection or compliance.
  • Public authorities where the law requires it, for example the police, fire authorities or a court.

If Centurion is sold or merges with another business, personal information may be transferred to the new owner so that the business can continue to serve its customers.

International transfers

We are based in the UK and keep personal information here wherever we can. Some of our service providers, including Google, may process information outside the UK. Where that happens we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or a UK adequacy decision for the destination country.

How long we keep information

Our retention policy is to keep personal information for as long as it is needed for the purpose for which we use it. The appropriate period depends on the information involved and our relationship with you, including whether we are following up an enquiry, providing services or meeting an applicable record-keeping obligation.

We have not yet introduced a routine deletion process to apply this policy.

How we protect information

We use technical and organisational measures appropriate to the risk, including encrypted connections to this website and access controls on our systems. No system is completely secure, so if you have any concern about the security of your information please contact us straight away.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete information where we no longer have a reason to keep it;
  • ask us to restrict how we use your information in certain circumstances;
  • object to our use of your information where we rely on legitimate interests, and object at any time to direct marketing;
  • receive information you gave us in a machine-readable format so you can move it elsewhere;
  • withdraw consent at any time where consent is the basis for our processing.

Complaints
